Professional practices / med spa

One Thursday at a med spa.

The questions arrive at ten at night, from a phone, about a face. Nobody is calling at ten the next morning instead.

A practice where the buying happens in the evening and the answering happens in the morning, which is the whole problem. A composite day, not a client's records. Nothing here is a measured result.

Time

What happens

What the system does

7:15am

What happens

An overnight message asking whether a treatment would work for them.

What the system does

Will not say. Says suitability is decided at a consultation with somebody qualified to look, and offers to book one.

9:00am

What happens

Somebody asks what a treatment costs.

What the system does

Gives the range the practice approved and says the number of sessions is the part nobody can guess without seeing the skin.

10:30am

What happens

A caller lists a medication and asks whether it rules them out.

What the system does

Does not answer and does not record the medication in the notes it takes. Flags it as a question for the provider and books the consultation.

12:10pm

What happens

Somebody wants to know how long the results last.

What the system does

Gives the honest range from the practice's own material and says it varies by person, which is true and less impressive than the alternative.

2:00pm

What happens

A client asks to move Friday's appointment.

What the system does

Recognized as an existing booking and handed to the desk with the appointment already attached.

3:45pm

What happens

A caller asks whether it hurts.

What the system does

Answers plainly from the approved material, including the part people do not enjoy hearing. Softening it produces a cancellation later.

6:30pm

What happens

The desk closes and the room is being cleaned down.

What the system does

Inquiries carry on arriving and carry on getting answers. This is the hour the calendar used to lose.

9:20pm

What happens

Somebody is comparing three practices in a browser with several tabs open.

What the system does

Answers what the practice offers, who performs it, and what happens at a first visit. Does not mention anybody else.

10:45pm

What happens

A first-time inquiry, decided tonight, wanting a slot this week.

What the system does

Takes the name and the number and offers the openings. Nobody is woken up and nothing is promised.

Half of today's inquiries arrived after the desk had gone home, and every one of them got an answer instead of a form. Not one was told a treatment would work for them, because that is a decision somebody qualified makes in the room.

Every line here is a composite. It is not drawn from a client's records and no number on this page is a measured result.
